FastFind Spares ("we", "us", "our") respects your privacy and is committed to protecting your personal information in accordance with the Protection of Personal Information Act, 4 of 2013 ("POPIA"). This policy explains what information we collect, why, how we use it, and your rights.
1. Information we collect
- Identity & contact details: name, phone number, email address.
- Vehicle details: make, model, year, VIN (where supplied for accurate part sourcing).
- Delivery information: physical address, recipient name and contact.
- Order & payment information: items ordered, quotation history, proof-of-payment references. Card data is processed by our payment provider; we do not store card numbers.
- Communications: WhatsApp, email and form messages you send us.
- Technical data: IP address, browser type and basic usage analytics where cookies are enabled (see section 7).
2. Lawful basis for processing
We process your personal information on the following lawful bases under POPIA:
- Performance of a contract — to source parts, process orders and arrange delivery.
- Legitimate interest — to operate, secure and improve our service and to follow up on warranty claims.
- Legal obligation — to comply with tax, consumer protection and other applicable laws.
- Consent — for optional marketing communications and non-essential cookies.
3. How we use your information
- Respond to enquiries and provide quotations.
- Source, process, package and deliver orders.
- Communicate updates about your order, warranty or after-sales matters.
- Comply with our legal and regulatory obligations.
- Detect and prevent fraud or misuse of our service.
4. Sharing with third parties
We share your personal information only with parties necessary to fulfil your order:
- Parts suppliers (limited to vehicle and part details required to source the item).
- Courier and logistics partners (name, address and phone for delivery).
- Payment processors (transaction reference and amount).
- Regulators or law-enforcement bodies where required by law.
We do not sell your personal information. Where we use service providers, we require them to maintain appropriate security and confidentiality.
5. Cross-border transfers
Your information is processed in South Africa. Where a service provider hosts data outside South Africa, we ensure they offer protection substantially similar to POPIA, or rely on an applicable lawful exception.
6. Retention
We retain personal information only for as long as necessary to fulfil the purposes set out above and to comply with legal obligations (typically 5 years for transactional records, in line with tax law). After this period your information is securely deleted or anonymised.
7. Cookies & analytics
We use a small number of essential cookies to operate our website. Non-essential analytics cookies are only set if you accept them via our cookie banner. You can change your choice at any time by clearing your browser cookies for this site.
8. Security
We take reasonable, appropriate technical and organisational measures to protect your personal information against loss, unauthorised access, alteration or disclosure.

Under POPIA you have the right to:
- Request access to the personal information we hold about you.
- Request correction or deletion of your information.
- Object to processing or withdraw consent (where consent is the basis).
- Lodge a complaint with the Information Regulator (South Africa).
